Getting started

How do I create my first prompt?

Tap the + button in the top-right of the main screen. Give your prompt a title, paste or type the body, and tap Save. Your prompt appears on the main grid and is ready to copy with one tap.

How do I copy a prompt to my clipboard?

Tap any prompt card. If it's a static prompt, it's copied instantly and a confirmation appears. If it contains variables, a fill-in sheet opens first so you can enter values before copying.

How do I organize prompts into folders?

Long-press any prompt, choose Move to Folder, then pick a folder or tap New Folder to create one. You can also create folders first from the folder bar at the top of the main screen.

Dynamic prompts

What are variables?

Variables are placeholders you fill in each time you use a prompt. Wrap any word or phrase in double curly braces - for example, {{language}} or {{target audience}}. When you tap the prompt, PromptPaste opens a sheet where you fill in each variable, then copies the finished prompt to your clipboard.

Can I have multiline variables?

Yes. When you open the variable editor, switch any field to multiline mode by tapping the expand icon. Useful for longer context like pasted articles, meeting notes, or code snippets.

Does PromptPaste remember what I typed last time?

Yes. Variable values are remembered per prompt, so if you use the same "Blog Outline" prompt twice, it pre-fills with your last inputs. Clear individual values or all values from the fill-in sheet.

Siri & Shortcuts

Can I use Siri to copy a prompt?

Yes. PromptPaste ships with four built-in voice shortcuts, available automatically in the iOS Shortcuts app right after install - no setup required. Try saying:

Where do I find the shortcuts?

Open Settings inside PromptPaste and tap Siri & Shortcuts. That jumps you straight to the Shortcuts app, where PromptPaste's built-in shortcuts appear in the Gallery under "From Your Apps."

Can I build my own shortcut?

Yes. In the Shortcuts app, tap + to create a new shortcut and search for "PromptPaste" to see every supported action: copy, search, create, update, delete, open, list folders, and list variables. Combine them with other apps - for example, copy a prompt, ask ChatGPT, paste the result into Notes - all in one tap.

Does PromptPaste support the Action Button or Spotlight?

Yes. Any PromptPaste shortcut can be assigned to the iPhone 15 Pro / 16 / 17 Action Button via Settings → Action Button → Shortcut. The same shortcuts also appear in Spotlight search and the Home Screen when you add a Shortcuts widget.

iCloud sync

How do I turn on sync?

Sync is automatic if you're signed in to iCloud. There's no setting to toggle inside PromptPaste. To verify sync is enabled at the system level:

My prompts aren't syncing between devices

Try these steps in order:

  1. Confirm both devices are signed in to the same Apple ID.
  2. Confirm PromptPaste is enabled in iCloud settings (see above) on both devices.
  3. Check your internet connection - sync requires a working connection on both devices.
  4. Open the app on both devices and wait 30-60 seconds. First sync can take a moment.
  5. Force-quit and relaunch PromptPaste on the device missing the changes.

If prompts still don't appear, email support with the two device models, iOS/macOS versions, and roughly when you created the missing prompt.

Will iCloud sync use my cellular data?

CloudKit uses whatever network your device is on. Typical prompt sync traffic is tiny (a few KB per change), but if you're on a limited plan and prefer Wi-Fi only, you can disable cellular for PromptPaste in Settings → Cellular on iPhone.

Sharing collections

How do I share a folder of prompts?

Long-press any folder and choose Share Collection. Set an expiry (7 days, 30 days, 90 days, or never), tap Create Share Link, and you'll get a URL you can send to anyone. Recipients tap the link and import the collection with one tap.

Who can see a shared collection?

Anyone with the link. Share links are not indexed or listed anywhere public, but treat them like any unlisted URL - if the link leaks, the content is readable until you revoke it. Don't share collections that contain secrets, API keys, or personal information.

How do I revoke a shared link?

Open Settings → Shared Links to see every active share. Tap a link and choose Revoke. The link stops working immediately and the content is deleted from our servers.

Can I update a shared collection after sharing?

In v1, a share link is a snapshot - changes you make locally don't update the shared copy. Revoke the old link and share a new one to send an updated version. Live-updating collections are on our roadmap.

Subscription & billing

How does the free trial work?

Your first 7 days include full access to every feature. No paywall during the trial. If you subscribe before the trial ends, billing starts when the trial ends. If you don't subscribe, the app switches to the free tier - your prompts are never deleted.

How do I manage, change, or cancel my subscription?

All subscriptions are handled by Apple. Go to Settings → [your name] → Subscriptions on your iPhone, iPad, or Mac to upgrade, downgrade, or cancel. Changes take effect at the end of your current billing period.

How do I restore my purchase on a new device?

Open PromptPaste, go to Settings → Restore Purchases, and sign in with the Apple ID you used to buy. Your subscription or lifetime purchase will be restored automatically.

I was charged but my subscription isn't active

This is almost always an Apple ID mismatch. Confirm the device is signed in to the same Apple ID you used to purchase, then tap Restore Purchases in Settings. If the issue persists, email us with your App Store receipt or order number and we'll look into it.

Can I get a refund?

Refunds for App Store purchases are handled by Apple, not by us. Request a refund at reportaproblem.apple.com within the refund window. We don't see your payment details and can't process refunds on our end, but if Apple declines your request and you think it's unfair, email us - we'll do what we can to help.

What happens to my prompts if I cancel?

Everything you saved stays on your device and in your iCloud. You keep read access to all your prompts. Some features (like AI generation) are Pro-only and become unavailable after the subscription ends.

Privacy & data

Where are my prompts stored?

On your device, in Apple's SwiftData local store. If you're signed in to iCloud, an encrypted copy also lives in your private CloudKit container. Nothing is sent to PromptPaste servers - we can't see your prompt content.

How do I delete all my data?

Delete the app from all your devices, then sign in to iCloud.com and remove the PromptPaste container from iCloud Settings. To also remove any active share links you created, open the app first and revoke them from Settings → Shared Links, or email us and we'll delete them server-side.

Does PromptPaste use my prompts to train AI?

No. Your prompts are never sent to any AI model - not to us, not to Apple, not to anyone. On supported devices, the "Let AI draft your prompt" feature uses Apple's on-device Foundation Models framework, which runs entirely on your device. See our Privacy Policy for details.
